**Team**

The Kennedys office in Santiago opened in 2016. The team is made up of 7 employees and 3 partners. They advise on all aspects of insurance law and litigation, including the defence of claims, policy wordings, coverage advice and corporate insurance. The team have significant experience in resolving high value and complex claims, particularly in relation to mining, energy and financial lines.

**Key Responsibilities**
- Manage general office procedures to ensure all administrative processes work effectively
- Maintain the office in good condition, including ensuring that IT equipment is in working order
- Order and distribute office supplies including stationary and IT equipment






- Manage the Secretarial and Business Services functions in the Santiago office, providing support and guidance in conjunction with the appropriate Business Services department
- Liaise with our centralised Finance, HR and Facilities departments in the UK where required
- Assist with Finance and accounting duties when required:Support the HR processes for the office, in conjunction with HR, including:

- Ensure all accounting information is reported correctly and completely for the closing of the month.
- Support the credit control process, also assisting with billing, invoicing and cashiering tasks as may be necessary.
- Assist in the resolution of queries and submission of information requested by stakeholders.
- Data input and data analysis.
- Ensure that information is sent regularly to Partners and that any actions agreed are followed up.
- Work with the Miami and London Finance team, the Partners and local suppliers (accountants/payroll)





to ensure the smooth running of the Financial transactions ensuring statutory compliance.
- Support the HR processes for the office, in conjunction with HR, including:

- Complete the new joiner and leaver workflow for the office
- Support the recruitment and onboarding process, including managing local induction for new joiners to ensure they are welcomed and inducted to the team's procedures and processes and have all the supplies and equipment they require on arrival (including PC's and telephones)
- Manage team holidays, sickness, and other absence and assist with the coordination of lawyer and Partner appraisals
- Support the partners in ad-hoc projects and be involved in the piloting of new processes, providing feedback and encouraging change and new technologies

**Required experience**






- Professional fluency in English (written and verbal)
- Previous experience in a similar role, ideally in professional services
- High level of IT literacy
- Finance experience essential
- Excellent communication and organisation skills
- Proven management/supervisor skills
- Able to work on own initiative
- Flexibility and ability to manage change
